We are looking for an organised, personable and commercially mindedSenior Reservations & Events Coordinator, who is responsible for managing event bookings, coordinating reservations, supporting sales activities, and ensuring excellent customer service throughout the client journey. This role serves as the primary point of contact for customers, handling enquiries, driving event enquiries, converting leads into bookings, and coordinating event logistics to deliver successful events and maximise revenue for the business.


The successful candidate will be the first point of contact for guests planning celebrations, corporate bookings, private hire events and large reservations. They will work closely with restaurant teams, chefs, managers and the wider operations team to ensure every enquiry is handled professionally and every event is delivered smoothly.


Key Responsibilities


  • Reservations, events and guest enquiries.
  • Manage incoming reservation and event enquiries by phone, email and booking platforms.
  • Respond to guests promptly and professionally.
  • Handle large party bookings, private dining requests and special occasion reservations.
  • Maintain accurate booking records, guest notes, deposits and payment details.
  • Follow up on enquiries to maximise confirmed bookings.
  • Actively generate new event opportunities, seek new ways to maximise leads across the business and maintain relationships with existing clients.


Events Co-ordination


  • Co-ordinate private dining, group events, corporate bookings and celebrations.
  • Prepare event proposals, booking confirmations, menus and function sheets.
  • Liaise with guests to confirm timings, dietary requirements, seating plans and special requests.
  • Communicate event details clearly to restaurant managers, kitchen teams and front-of-house staff.
  • Support event delivery by ensuring all pre-event information is accurate and complete.


Sales and Revenue


  • Convert enquiries into confirmed bookings.
  • Promote group menus, drinks packages, private hire options and seasonal offers.
  • Identify opportunities to upsell menus, add-ons and experiences.
  • Maintain awareness of availability, peak trading periods and revenue targets.
  • Actively look at ways to generate new relationships and event leads
  • Maintain accurate sales records and customer databases
  • Build strong relationships with repeat guests, corporate clients and local businesses.


Administration


  • Maintain reservation systems, enquiry trackers and event calendars.
  • Issue contracts, invoices and payment requests where required.
  • Track deposits, pre-orders, cancellations and final guest numbers.
  • Prepare weekly reports on enquiries, confirmed bookings, upcoming events and VIPs booked across all sites.
  • Keep menus, event brochures, event listings and booking information up to date.


Team Communication


  • Act as the link between guests and restaurant teams.
  • Attend meetings with managers to review upcoming bookings and events.
  • Ensure all sites have clear information ahead of each event.
  • Support operational teams with last-minute changes or guest requirements.


Skills and Experience


Essential:


  • Previous experience in reservations, events, hospitality, restaurants or customer service.
  • Excellent written and verbal communication skills.
  • Strong organisational skills and attention to detail.
  • Confident handling multiple enquiries at once.
  • Professional, friendly and guest-focused approach.
  • Good computer skills, including email, Excel spreadsheets and booking systems.
  • Ability to work calmly under pressure.
  • Experience using reservation or event management platforms such as SevenRooms, OpenTable, ResDiary, Collins, DesignMyNight or similar.
  • Experience working across multiple restaurant sites.
  • Knowledge of private dining, corporate events or group bookings.
  • Basic sales or account management experience.
